How to make a reservation: see your Travel Agent, or we can be reached by phone, fax, e-mail and web site. In order to hold confirmed seats a minimum deposit of $100 per person, is due at the time of booking. Payment in full must be received at least 30 days prior to departure. Payments may be made by cash, check, traveler’s check or credit card. We accept Visa, Master Card, American Express and Discover/Novus. You must be 18 years of age or accompanied by a parent or legal guardian to book passage on any tour.
Tour includes: All motorcoach transportation, services of the driver and/or guide, lodging, sightseeing, taxes, admissions where indicated and gratuities for porterage and waiters for included meals.
Tour does not include: items of a personal nature, meals not included on the itinerary, and sightseeing attractions listed as “optional excursions.”
Gratuities: The customary gratuities to Gray Line Drivers, Tour Directors and Step On Guides are not included. Such gratuities should be extended on an individual and voluntary basis. Tipping envelopes are typically provided to allow for anonymity, and industry standards are in the range of $2 - $5 per person, per day.
Cancellation Policy: Regardless of reason, cancellations result in a costly process of letters, toll calls, record adjustments, etc. Different hotels and attractions require different cancellation dates for a full refund and Gray Line will require these same cancellation terms and forfeitures when a passenger cancels a paid tour.
Unless otherwise stated, cancellations received 31 days or more before departure will be given a full refund. Cancellations received 30 days or less prior to departure will receive no refund. There is no refund of unused portions of tours.
Cancellation of tours by Gray Line: Those tours which offer guaranteed departures (no minimum occupancies) are clearly identified in the tour descriptions. Unless explicitly stated otherwise, our tours require a minimum number of bookings to operate. We hate to cancel tours! Nonetheless, if the numbers are far below our stated minimums we may have no choice but to cancel. Gray Line reserves the right to cancel any tour before departure, and in such case, a full refund of all monies received will constitute full settlement to the passenger. Thank you for your understanding.
Entry into Canada and Mexico: In order to enter and leave Canada and/or Mexico, all U.S. Citizens must carry proof of citizenship such as a valid passport. Alien residents of the U.S must carry their alien resident card. Non-U.S. Citizens must have a valid passport with a visa for Mexico, if required, plus a multiple entry visa to re-enter the U.S.
Luggage: Due to limited coach capacity, each tour member is allowed one large suitcase, which will be handled by the driver and/or bellman at each property, plus one small carry-on bag, not including handbags.
Special Requests: We will happy to advise hotels of special requests such as “king bed, “room near elevator,” “lower floor,” etc., provided we receive the request at the time of booking. We cannot guarantee requests will be fulfilled as hotels may have limited availability.
Travelers in need of special assistance: We regret that we cannot provide individual assistance to a vacation participant for walking, dining, getting on or off motorcoaches and/or other vehicles, or other personal needs. A qualified and physically able companion must accompany travelers who need such special assistance and must assume full responsibility for their well being.
No smoking please: Gray Line Tours has a no smoking policy on our vehicles and for “Guaranteed Share” rooms.
Miscellaneous: Gray Line Tours reserves the right to accept, decline or retain any person as a member of the tour and is not responsible for any loss or damage of personal property or for injuries, expenses or damages incurred by any Tour Member. We reserve the right to vary itineraries, prices, hotels and/or substitute equipment if necessary, and without notice.
Tour itineraries are subject to change without prior warning. Gray Line Arizona will not be responsible for unexpected delays, loss of visibility or itinerary changes caused by traffic, weather, acts of God, etc.
